A matched record shows the registered entity. It does not prove you are safe.
“The record checks out” does not mean “this supplier is safe”. A registry check settles identity, status and filed facts. It does not prove capability, payment safety, document ownership or future delivery. Those limits belong at the start of the check, not in a buried disclaimer.
1. A registered company can still be a shell
A registration record proves that an entity was registered. It cannot test whether catalogue photos show that entity’s factory, whether a certificate belongs to it or whether a storefront describes its real capability.
Records change. Save the source and query date, and check again when a relevant detail changes. Our dated record-change study explains the sample and method.
A real registered entity can still have unresolved risks. Its registration does not record a promise to honour your order.
2. A genuine licence can belong to somebody else
A licence can be authentic while the person sending it has no authority to use it. It could belong to a different company or an affiliate. Matching the document to a record does not resolve that relationship.
Check that licence against the registry and everything matches, because everything on it is true. What the registry cannot tell you is whether the person emailing you has any connection to the entity on the page.
Compare the storefront, contract seller, invoice issuer and named beneficiary. If they differ, ask for the relationship and confirm it through independently obtained contact details. A name match still does not establish authority or bank-account ownership.
Decision after a clean record: compare the seller with the invoice and payment chain, then use inspection against a written scope for product and production evidence. A registry result cannot replace either step.
3. Registration is not capability, and some fields are weaker than they look
A registration file states what was filed, on the day it was read. It is not evidence of production capacity, quality systems, or solvency. Several fields buyers lean on are weaker signals than they appear:
- Registered capital and a paid-in amount are different fields. Neither shows the current bank balance or funds available for your order.
- Business scope is checked at registration. It can drift from what a company actually does over the years that follow.
- Company name wording is a clue to investigate, not proof that the business operates a factory.
- A trading company in the chain is not automatically a problem. Many factories export through a trading entity for ordinary commercial reasons. The pattern is common and lawful; it is only a concern when you were told you were dealing with the factory directly.
Check certificates with the issuer or relevant scheme, including the holder, scope and status. A registration match alone does not validate a certificate or audit report.
4. The registered address is where the company is filed. It is not where your goods are made
The registered address and the production site may differ. Ask for the site where your order will be made, who operates it and how it relates to the contract seller.
The same commercial-platform query returned branch records for 8 of 45 manufacturers. A branch record does not prove that the address is a production site. No returned branch record does not prove there is no other site.

5. Check payment instructions separately
A company record does not show who controls the bank account you have been asked to pay. If payment instructions change, pause and confirm them through a trusted contact channel obtained independently of the change request.

6. No result is not an all-clear
When a query returns nothing, first check the entity, source coverage, date and access status. The result alone does not tell you why it is empty.
On 21–22 August 2026, I queried 19 fields through a commercial data platform for 45 Chinese manufacturers matched from the NHTSA list: 855 queries in one selected sample.

These counts describe returned records only. Source gaps, query matching or records under another entity may require follow-up; this sample does not establish which explanation applies to any empty result.

Our 94-profile study found eight empty company-code fields among 59 1688 cards, while the field was absent from all 33 Alibaba.com profiles read on 28 August 2026. Those are observations of page fields. They do not establish who omitted the data, why, or whether the company has a valid code.
What a registry check can support
For the entity you have matched, compare these dated details:
- Recorded status. Read the exact status and query date. Seek qualified advice if a revoked or deregistered status affects the proposed contract.
- Company name. Distinguish the Chinese legal name, former names and an English trading name.
- Do the details on the licence you were shown match the register: the 18-character code, the establishment date, the registered capital?
- Does the payment account name match the registered name?
Resolve discrepancies before relying on the file. The free tool distinguishes local checks from available company queries; a valid code format alone does not prove registration.
