Quotation termBefore you accept a quote

What does MOQ mean? Check what the minimum covers.

Minimum order quantity is the quantity floor for a specific quote. Ask whether it applies per product, colour, size or whole order. Then compare the price and delivery terms for that exact quantity.

1. Find out what the minimum applies to

MOQ means minimum order quantity: the smallest quantity a seller will accept for a given quote. Ask whether it applies to the whole order, one product, a colour, a size or each shipment.

Keep it separate from MOV (minimum order value), MPQ (minimum packaging quantity) and the order increment. A minimum tells you where you can start; an increment tells you which quantities you can order.

Ask for the model, specification version, quantity and unit price on the same line. Otherwise two similar-looking quotes may cover different goods.

2. Ask what changes at a lower quantity

Setup work, materials, packaging and custom tooling may affect the minimum. A quote does not prove the seller's costs. Ask for two or three quantities with the same specification.

  • Compare unit prices and total costs. Keep the currency and quote validity clear.
  • List separate fees. Identify sample, mould, setup and artwork charges.
  • Check what changed. A cheaper material or simpler package makes it a different offer.

3. Six questions before you accept

  1. What does the minimum apply to? The order, product, colour, size, package or shipment?
  2. Is it stock or custom-made? Record the exact specification and any changes you need.
  3. What quantities can follow it? Confirm pack sizes and the final number of units billed.
  4. What does the price include? Record materials, packaging, freight terms and the named delivery place.
  5. What happens to samples and tooling? Agree fees, ownership, approval and any refund or credit terms.
  6. What starts production and delivery? State payment dates, sample approval, required buyer inputs and dispatch date.

Carry the answers into the quote, proforma invoice or purchase order. A proforma invoice is the draft used to confirm the deal before payment. Check that the documents agree.

4. Check the company and production claim separately

MOQ does not prove the seller is a factory, wholesaler, distributor, agent or reseller. The same seller may offer ready stock at one minimum and custom goods at another.

Use the registration guide to check the legal seller. Use the factory capability guide for the process, site and product evidence. A business-scope entry alone does not prove where your goods will be made.

5. Compare a smaller trial

  • Use a stock specification. Ask whether an existing colour, material or package has a lower minimum.
  • Use fewer variants. Confirm both the per-variant quantity and the order total.
  • Request a paid sample or trial. A higher unit price may reduce the total commitment. A sample does not prove bulk quality.
  • Ask about staged release. If goods stay in storage, agree ownership, fees, conditions, insurance, payment and release dates. Decide who bears the risk of unsold stock.

Ask for a revised written offer. Compare the full cost and terms before accepting the lower quantity.

6. Check the rules for your buying route

Alibaba: Buyer Central distinguishes ready-stock from custom products and recommends a detailed order and sample. For Trade Assurance, keep the terms and messages on the platform and use its order payment route. Read the coverage and deadline guide; a lower MOQ does not create protection.

Shopify B2B: its quantity rules apply per variant. Buyers cannot combine variants to meet a minimum or increment. This is a documented platform example, not a rule for every supplier quote.

Company records cannot identify who can approve a lower MOQ

Ask the seller who can approve a revised quote. Shareholder counts do not tell you who runs sales or has that authority. Our commercial-platform queries illustrate this limit: they return ownership counts, not an MOQ decision.

How we checked

Fill rates come from running our report process on real companies and counting how many of the twelve dimensions returned data on the date stated. The most recent query date on this page is 22 August 2026. Where a table carries its own date, that date governs.

The official pages we read are listed on this page with the date each was accessed, so every figure can be re-checked at source.
