Check a bill of lading before the balance payment.
Check the issuer, named parties, shipment details and release method against your order. Confirm unexplained differences through known contacts before issuing a payment or release instruction.
1. Identify the issuer and document type
A bill of lading is a carrier receipt and evidence of the carriage contract. A negotiable bill can also serve as a document of title. Release depends on the bill, applicable law and carrier requirements, including any needed endorsement.
Then check which document you are actually holding:
- Master bill: issued by the shipping line itself.
- House bill: issued by a forwarder or other contractual carrier. Identify that issuer and ask how its release process relates to the master bill.
- Sea waybill: a non-negotiable record for delivery to the named consignee. If someone says “express release,” ask the carrier which document and procedure they mean.

2. Explain any different shipper
The shipper may differ from your seller or manufacturer. An export agent, affiliate or consolidator can be involved. Ask who appears on the house and master bills and keep the relationship in writing.
What to do with the line:
- Compare the shipper against the seller on the contract, the header on the invoice, and the beneficiary of your payment. They do not have to be identical, but every difference should have an explanation you received in writing, before shipment, not one you reconstruct afterwards.
- Identify any new entity. For a mainland company, check the code’s structure, then compare it with a dated company record. A format check alone does not confirm identity.
- Keep the pattern from the rest of the order in view: an English sales name, a Chinese legal entity and a shipping name have to line up as one documented chain.
Why the name search needs a second check
A licensed platform search on 21 August 2026 compared three Chinese name forms from a 45-company study. Removing parts of the name usually returned more candidates in this cohort.

These shortened Chinese names are not English trading names. Do not apply the bottom row to a romanised name on your bill. Ask for the shipper’s registered name and identifier, then compare them with a dated record.
The displayed total is capped at 5,000. One candidate is not proof of a match; several candidates do not mean several identical legal names.

These are candidate counts from a licensed platform, not confirmed supplier matches. The English-name study describes the defined frame and method; it is not a census of Chinese manufacturers.
3. Check the consignee and notify party
The consignee field decides who the carrier will deal with at destination. Two shapes matter:
- Named consignee: check the exact identity and the carrier’s document requirements. A straight bill and a sea waybill can have different presentation requirements.
- “To order” bill: check to whose order it is issued and which endorsements and documents the carrier requires for delivery.
The notify party receives arrival communications; that role alone does not confer title. Confirm its contact details, destination free time and who will handle release formalities.
4. Confirm how release will happen
Agree the document type, payment trigger and release instructions together. A draft or copy does not prove that the carrier issued an on-board bill, that a balance was paid or that release is authorised.
The underlying question — who controls the cargo, and from what moment — is worth settling before negotiating which document type you will accept.
A telex release is a carrier release procedure after surrender of originals, not a separate negotiable document. Confirm its status with the carrier. A sea waybill uses a different delivery process; do not treat the names as interchangeable.
If the document type or shipper changed, pause the affected instruction and get the explanation in writing. Documentary control does not guarantee the goods’ quality or protect either party from every payment risk.

5. Compare five fields before giving instructions
When the draft or copy bill arrives, put it next to the purchase order, the invoice and the packing list, and check:
- Parties: shipper, consignee and notify against the entities you know. Any new name gets identified before money moves.
- Goods description, quantity and weights: against the commercial invoice and packing list; customs at your end will read these documents side by side, and so should you.
- Container and seal numbers: noted now, matched again at devanning. A seal that arrives different from the bill is a question you want to be able to ask precisely.
- Shipped-on-board date: against the shipment window in the order. A bill dated outside the agreed window is a contract conversation, best had while you still hold the balance.
- Freight and release terms: prepaid or collect, originals or telex, consistent with what was agreed on terms.
Confirm issue and release status through the carrier’s independently verified contact or portal. Keep the answer with the bill reference. A supplier-forwarded copy alone is not a payment approval.

Common questions
What should I check on a bill of lading before paying?
Check the issuer, shipper, consignee, goods, container and seal numbers, on-board date, freight terms and release method. Resolve differences from the order and confirm issue or release status with the carrier.
Does a different shipper mean the supplier is fraudulent?
No. An affiliate, export agent or consolidator may be involved. Identify the entity and obtain a written explanation of its role before relying on the document.
Is a copy of a bill of lading enough to approve payment?
A copy can help compare shipment details. It does not by itself prove issue, release authority, payment or the condition of the goods. Apply the agreed payment conditions and verify the carrier record.
Does telex release mean the same thing as a sea waybill?
No. Telex release is a carrier procedure after surrender of originals. A sea waybill is a non-negotiable transport record. Ask the carrier which document and release requirements apply.
